Position Summary

The Administrative Support Coordinator (ASC) II is responsible for the majority of day-to-day operations of the department office that includes providing lead work direction and training of an ASC I and up to two student assistants. The position provides oversight to ensure clerical and administrative support is provided for approximately 20 faculty and 35 part­ time faculty and student assistants in the Department. The ASC II position is responsible for developing, maintaining, and analyzing various Departmental fiscal records, preparing and inputting the annual schedule of classes into CMS HR and Astra, and organizing both the Part-Time and Full-Time Faculty Hiring Committees in their recruiting and hiring efforts. The ASC II develops and implements procedures and timelines for the department and recommends them to the Department Chair. The incumbent works directly with the Department Chair and makes recommendations to the Chair, faculty and department committees regarding various issues such as budget, part-time faculty hiring, development of department schedule, etc., and assists in carrying out the decisions made on those issues. The position uses judgment and discretion to independently interpret and apply detailed knowledge of University and Department policies and procedures, as well as knowledge of organizations governing students, faculty and staff.  The ASC II may work with other departments and other programs such as Cooper-Woodson College Enhancement Program, CAMP, EOP, Full Circle Project and other University Ed Equity Programs. The Ethnic Studies Department currently has approximately 190 undergraduates with 7 concentrations and will be launching a new master’s degree program.

FLSA: Non-Exempt (Eligible for overtime compensation)

Anticipated Hiring Range: $4058 per month - $4261 per month

Department Information 

Ethnic Studies is an interdisciplinary approach to the study of the cultures, languages, historical, and contemporary issues relating to African Americans, Asian Americans, Chicana/os-Latina/os, and Native Americans. The program directs students to critically examine the cultural contributions made by these groups to world civilization and to American society. Ethnic Studies challenges all students to analyze existing generalizations, theories, and concepts about racial and ethnic groups in order to develop valid generalizations, concepts, and theories about the people and their experiences. Students are encouraged to actively work to eliminate problems based on discrimination.

Minimum Qualifications 

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. This position may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Required Qualifications 

1. Experience providing clerical and administrative support functions in a complex administrative environment.
2. Experience in independently setting priorities, meeting deadlines, and multi-tasking in a work environment with frequent interruptions.
3. Proficiency in using standard office equipment.
4. Proficiency in using Microsoft Office (i.e. Word, Excel, Access, PowerPoint, Outlook) and the Internet.
5. Ability to prepare correspondence, generate database reports, analyze spreadsheets, and interpret data.
6. Strong organizational skills.
7. Ability to apply judgement, discretion, and initiative and make appropriate recommendations and experience handling complex, confidential, and sensitive situations and materials.
8. Excellent written and verbal communication skills with the ability to convey information clearly and accurately.
9. Strong interpersonal skills and ability to maintain positive relationships with faculty, administrators, other staff, students, and community members.
10. Demonstrated ability to provide lead direction to ASC I, assist with meetings, and event coordination.
11. Knowledge of and proficiency with budget and financial record tracking and processes
12. Ability to assist students and provide lead direction on a wide variety of policies and procedures, providing informed recommendations in the absence of formal guidance.
13. Experience and competency working with an ethnically and/or racially diverse population of students, staff, and faculty and promoting equity, diversity, and inclusion.
14. Knowledge of the discipline of Ethnic Studies

15. Ability to assist with maintenance of department website.

16. Proficiency with several of the following systems: Common Management System (CMS), Human Resources / Student Administration (HR/SA); Cognos/Data Warehouse; Astra; Cascade; Saclink email; Financial Data Warehouse; OnBase; OneDrive; Teams. Ability to train and provide lead direction to ASCI on procedures utilizing these systems, as appropriate.

17. Familiar with Sac State personnel procedures for faculty and staff and university
18. Experience with preparation of the course schedule and ability to provide training and lead direction regarding scheduling, enrollment, and room reservations.
19. Background in the discipline of Ethnic Studies or experience working in an Ethnic Studies program or department
20. Experience working with diverse programs such as EOP, Cooper Woodson, Full Circle, CAMP and/or other University Equity Programs
21. Knowledge of applicable University infrastructure, policies, and procedures and ability to provide training and lead direction in these areas.
22. Bachelor’s degree from an accredited college or university
23. Familiarity with scholarship process and tracking
