Administrative Analyst/Specialist - Exempt I

*** Temporary Position - 1 year appointment subject to renewal of grant funds each year. No permanent appointment will be reached from this position.***

RESPONSIBILITIES & DUTIES:
Assists the Project Director with all aspects of Caminos Project including all six Grant Objectives and a range of activities such as, but not limited to the following: Activity 1: Assists with developing a Department of Counseling and School Psychology in the CSUCI School of Education; Activity 2: Providing supportive services to all post-baccalaureate students in the School of Education; and Activity 3: Administers the professional development program for graduate-level faculty.

Assures efficient and effective overall project accountability with oversight of the annual budget including administration of all grant and institutional expenditures. Monitors all budget activity including contracts and prepares annual budget reports for campus leadership, project partners, and the U.S. Department of Education. Ensures assessment and evaluation is timely and measures progress toward meeting the project objectives for required reporting. Continually monitors and evaluates the needs and expectations of program participants and stakeholders to develop effective assessment strategies for continuous improvement. Draws on proven best practices to address participant and partner needs that underscore the challenges, values, and benefits of timely degree completion and closing equity gaps.

Provides lead work direction and delegates assignments to key personnel and serves as a liaison between the Project Director and Project staff and other departments proactively anticipating and addressing complex problems and issues. Works closely with faculty and staff to ensure progress of each grant objective. Provides professional development to project staff to ensure they are knowledgeable and skilled in implementing grant activities. Serves as the point of contact with internal and external stakeholders and communicates frequently with the Title V Program Officer and Department of Education. Meets regularly with campus leadership and convenes cross-institutional meetings with educational partners to provide progress updates and share institutionalization plans. Facilitates collaboration across SOE to enhance outreach and academic student success outcomes.

Regularly participates in strategic operations and planning activities to facilitate connections between project initiatives that advance departmental goals, values, and working agreements. Facilitates collaboration among SOE faculty and staff on outreach and academic student success efforts. Serves on all relevant university and community committees as assigned. Travels occasionally to engage in professional development relevant to promoting student academic success and grant administration.

Performs other related duties as assigned.

REQUIREMENTS OF POSITION:

Education: Bachelor’s degree required and administrative experience working in a higher education setting requiring a working knowledge of grant project coordination, basic project budget management, and evaluation experience (data collection and analysis).
Experience: Experience with outreach and academic student support activities and knowledge of barriers that limit participation in higher education for Hispanic and underserved students. Experience with programs for disadvantaged/underserved students. Experience with educational grants and developing educational and community partnerships. Excellent organizational, public speaking, writing skills, interpersonal communication skills, and experience making small group presentations. Experience with grant project oversight, budget analysis, and the ability to prioritize and execute a wide range of projects simultaneously. Demonstrated ability to communicate with people from diverse backgrounds and develop and maintain cooperative working relationships with multiple educational, public, and community organizations.

Other Knowledge/Skills: Knowledge of Title V regulations. Ability to lead & facilitate collaborative work within the School of Education and across university divisions and academic programs. Ability to learn new skills and quickly absorb new information, investigate, research, analyze, and solve problems. Must have advanced Microsoft Office Suite skills (including Word, Excel, Outlook, and PowerPoint). Position involves occasional travel, use of technology, and some flexible hours including evenings and weekends.

Preferred Qualifications: Bilingual in Spanish. Experience with PeopleSoft Finance, project management programs, and analytical tools to track and quantify objectives. Experience developing, implementing, and evaluating educational services and objectives, preferably in academic affairs and student support services.

Hiring Range: $4,598 - $5,500 per month.
