Job Summary

Reporting directly to the special advisor to the provost, the incumbent acts independently on the provost’s professional calendar, time management, and projects. This position performs highly sensitive and confidential executive administrative support for the provost while maintaining a high level of executive presence. In conjunction with the Office of the Provost’s staff, the executive assistant supports the administrative duties of the office and works closely with staff to coordinate activities that involve the provost and executive vice president, campus constituents, community leaders as well as university supporters.

This is a full-time 12-month temporary position with the possibility of an extension and is eligible for full benefits, including medical, dental, vision and CalPERS retirement. 

Department Summary

The provost and executive vice president (provost and EVP) for Academic Affairs is the chief academic officer of the university, is the most senior among the vice presidents, and reports directly to the president. As the highest ranking academic, the provost and EVP is responsible for developing and implementing academic plans and policies, which will enable the university community to achieve the highest levels of academic excellence. The college deans, Academic Affairs’ division leadership, the vice president for Research, Economic Development, and Graduate Education (R-EDGE), the vice president for Strategic Enrollment Management (SEM) report to the provost and EVP. The vice president for University Personnel and the associate vice provost for Academic Personnel have a dotted line report to the provost and EVP. The provost and EVP also represents the campus within the CSU and to external constituencies as designated by the president. The Office of the Provost staff supports the vision of the provost and EVP, the university, and the Learn by Doing experience.

Key Qualifications

  • Manage the daily requirements of the executive Office of the Provost, as planned and impromptu with regards to communications, contacts, calendar, public appearances, travel, conflict resolution, research, and other professional activities.
  • Strategize with the special advisor to ensure the provost’s strategic goals are in alignment with calendar and time management and in support of the provost’s priorities and initiatives.

  • Create, review and distribute appropriate briefing materials, analysis, and reports necessary for meetings, conferences, communications, and phone calls.

  • Serve as the administrative liaison between the Office of the Provost and the other executive leadership offices including the Office of the President, the college deans’ offices, Academic Affairs leadership offices, the Academic Senate, and the CSU Chancellor’s Office for scheduling and planning the provost’s time, briefing materials, agendas, and other action items.

  • Use independent judgment to triage and prioritize requests for the provost’s time.

Education and Experience

  • Equivalent to graduation from a four-year college or university. Five years of progressively responsible administrative experience as secretary, executive secretary or senior level staff assistant. A graduate degree may be substituted for one year of the required experience. Additional qualifying experience may be substituted for the required education on a year-for-year basis

Salary and Benefits

Anticipated Hiring Range: $98,000- $115,000 annually

Classification Range: $61,224 - $152,688 annually
