Job Summary
The purpose of this position is to act as an aide of the Chair of Department and provide coordination and continuity in various department functions especially instructional scheduling and hiring as well as general services. The person who occupies this position is responsible for keeping the Department running smoothly, providing clarification of Department, College and University policies and procedures, and coordinating instructional activities with faculty, staff, and students.
Key Responsibilities
- Personnel - Coordinate hiring procedures of teaching associates (TAs), instructional student assistants (ISAs) and part-time faculty based on university guidelines. Prepare all personnel documents for the faculty, part-time faculty, lecturers, TAs/ISAs, and staff. Coordinate online hiring system and record keeping.
- Scheduling - Work closely with the Chair to prepare the academic class schedule each semester. Input schedule on PeopleSoft and make on-line changes. Prepare assigned time record documents and coordinate with CNSM College Office.
- Coordination - Coordinate and work with other staff to maintain key department functions especially instructional scheduling and hiring as well as general services to insure a smooth, efficient operation to serve the needs of the faculty and students.
- Work with office staff to design, coordinate, and execute all special events for Department functions, including but not limited to external evaluation, seminars, and retirements.
Knowledge Skills and Abilities
Thorough knowledge of the academic office environment, including personnel, class scheduling, department procedures and precedents, and university policies and procedures, along with an understanding of the structure and hierarchy of the college and university, is essential. Knowledge of fiscal processes and student services procedures, coupled with the ability and experience in problem-solving and working in an ever-changing environment, demonstrates flexibility and the capability to work with continual interruptions.
Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."
Education and Experience
• Equivalent to five years of administrative support experience required.
• Bachelor's degree preferred.
• Experience in academic office situation preferred.

- Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation
Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.
CSU Classification Salary Range: The CSU Classification Salary Range for this position is $4,058 - $6,653 per month.

1.0 time-base, 40 hours per week.
Duration of Appointment
This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.
