Position Summary
The College Corps Program Specialist will work closely with the College Corps Program Lead to support the day-to-day operations of the grant-funded #CaliforniansForAll College Corps program, a campus-wide initiative coordinated by the Institute for Civic and Community Engagement (ICCE). The purpose of College Corps @ SF State is to build the next generation of civic leaders by engaging college students in meaningful community service. Through this program, the incumbent will advance three primary goals: engage college students in meaningful service opportunities that build leadership skills and civic responsibility; help students from diverse backgrounds graduate college on time and with less debt; and support the work of community-based organizations focused on key local priorities (K 12 education, food insecurity, and climate action).
The incumbent will be responsible for a cohort of participating fellows and community host organizations, and coordinate all student program activities, including but not limited to promoting the initiative, recruiting students, overseeing processes, training and supporting student fellows, communicating with partner organizations, placing students in community service fellowships, tracking data, maintaining records, and collaborating across the university. The program specialist ensures grant goals and requirements are met regarding the student experience, community partner engagement, and campus participation, as well as supporting the mission, vision, and principles of practice of ICCE.
Position Information
Program Coordination
- Responsible for a cohort team of assigned fellow students and community host organizations.
- Lead bi-weekly “Team CIRCLES” training modules that provide opportunities for fellows to reflect on what’s working, strategize challenges, and participate in training to help them succeed in their service. Additionally, guide their progress and cohort group projects.
- The incumbent leads bi-weekly meetings with college corps fellows to assess progress and support needed. This would include developing work plans and implementing plans with students.
- The incumbent leads monthly meetings with College Corps community host organizations. This would include developing the meeting agendas, providing meeting updates, and overseeing the scheduling of subsequent meetings.
- Maintain continual data collection and tracking for California Volunteers and AmeriCorps reports through their online systems, such as eGrants (AmeriCorps) and America Learns, to ensure completion of California Volunteers and AmeriCorps project requirements.
- The incumbent will work with program lead in coordinating payments for students (includes reviewing, tracking, approving, and reconciling student timesheets and payable time).
- Process and prepare reimbursements and payments to students for associated College Corps activities, events, and travel.
- Independently resolve issues that may arise in the planning of programmatic activities. The incumbent will regularly participate in the planning and development of programmatic activities, and as required, independent determination of methods to meet programmatic or administrative goals.
- Generate reports and develop summary narratives for the annual progress report to our funder.
Student and Community Engagement
- Recruit, enroll, orient, train, supervise, support, and assess all SF State Corps student fellows, including marketing, applicant review and placement matching, and HR/Payroll requirements.
- Support and implement retention efforts.
- Monitor and support students through active and ongoing communications and meetings.
- Coordinate and implement events and initiatives to provide additional opportunities for fellows to engage, including but not limited to Service Days. Prepare and coordinate fellows to facilitate these on- and off-campus events/activities.
Host Site Community Partner Engagement
- Recruit, enroll, orient, train, supervise, support, and assess all SF State Corps host sites, including marketing, applicant review and placement matching, and host site requirements.
- Maintain active communication with community partners during both planning and implementation phases.
- Monitor community fellowship placements through regular communications and site visits with community-based partner organizations throughout the Bay Area.
- Track partner impact to meet program goals.
Campus and Outreach
- Conduct and facilitate presentations, relevant workshops, and events for the campus community and off-campus events, as needed.
- Work within ICCE and with all ICCE staff to plan for and integrate the College Corps program within ICCE, including working with ICCE staff to ensure ICCE communications and media (such as web and social media) represent the fellowship program, and that the fellowship program is branded correctly for representing both ICCE and grant funders.
- Conduct outreach promotion of College Corps and communication materials, including print, online, presentations, and social media platforms.
- Maintain the College Corps program webpage, ensuring brand image consistency and accessibility compliance.
- Represent the program at community events.

Minimum Qualifications
- General knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
- Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendation.
- Working knowledge of general practices, program, and/or administrative specialty. Basic knowledge of and ability to apply fundamental concepts. Working knowledge of budget policies and procedures.
- Ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the applicable program, organizational unit, and/or administrative specialty.
- Knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them. Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
- Ability to organize and plan work and projects including handling multiple priorities.
- Ability to make independent decisions and exercise sound judgment.
- Ability to compile, write, and present reports related to program or administrative specialty.
- Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.
Preferred Qualifications
- Ability to work independently on varied or specialized administrative and analytical duties, follow through on assignments with minimal direction, and handle sensitive and confidential matters.
- Demonstrated experience working in community engagement or community service programs and working in higher education.
- Demonstrated experience with support of coordinating programs, services, or departments
- Excellent communication skills, and navigating various projects is a must.
- Prior work experience in efforts to increase diversity in higher education.
Environmental/Physical/Special
- Must be able to move boxes of paper, office supplies, and sidewalk sign A-Frame message boards, and outreach materials weighing up to 30 pounds.
- Must be able to bend, lift, move around tables and chairs for ICCE/College Corps sponsored events.
- Occasional weekend and/or evening work will be required to provide outreach services and program-related events to on and off-campus communities.
