About the Position
This is a full-time, temporary, grant funded position through December 30, 2025 with the possibility of reappointment.
The Logistics Coordinator handles a variety of projects and tasks associated with the Pioneer Pathways (advising) project as well as the Cal State East Bay campus at large, including a full range of complex work assignments. This position reports to the Director of Academic Advising. The Logistics Coordinator works primarily in the following areas: office support & administrative assistance, project coordination, and other duties as assigned.
Responsibilities
Project Coordination:
- Oversee moderate to complex projects with various divisions/departments on campus to coordinate information gathering, contribute to the development and maintenance of online resources (e.g., website and portals), and event planning.
- Projects include but are not limited to:
- Coordinate with Facilities and other campus partners to ensure advising spaces are move-in ready
- Support the design of space plans for each college advising office
- Develop and maintain new advising webpage
- Online advising resource tool for the advising community, faculty, students, and campus partners
- Update advising information for each major
Administrative Support, including Website, Committee Support, and Event Planning:
- Moderate to complex administrative functions involving use of judgment and discretion for the AVP of Institutional Effectiveness and Research (IER), IER team, and the Provost Office.
- Facilitate communication and coordination of campus-wide affiliates (e.g., faculty, staff, senior leadership), the Chancellor’s office, and external organizations.
- Administrative tasks include, but are not limited to, the following:
- Travel authorization and reimbursement
- Event planning
- Collaborate with facilities to review space compliance codes and procedures
- Accounting and procurement of new assets (e.g., furniture, office setups, simple data visualizations, and event and meeting coordination
Other Duties as Assigned. This may include but is not limited to providing administrative support to the Provost Office.
Minimum Qualifications
- Fully functional knowledge of and skill in standard office procedures and practices.
- Ability to understand and operate in a variety of organizational structures.
- Thorough knowledge of English grammar, spelling, and punctuation.
- Ability to clearly communicate orally and in writing.
- Knowledge of business mathematics beyond basic arithmetic.
- The ability to use and quickly learn new office support technology systems and software packages.
- These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

- Knowledge of principles, policies and procedures regarding responsibilities listed above normally obtained through a minimum of 3-4 years of related office experience.
- Bachelor’s degree (or equivalent).
- Ability to work almost completely independently in all areas of responsibility.
- Ability to analyze and handle complex problems and assignments.
- Ability to navigate Cal State East Bay's webpage to provide correct guidance to constituents.
- Ability to be proactive with all assignments.
- Ability to design and plan projects/events assigned, and ability to implement them.
- Ability to compile/analyze data.
- Proficiency with the current social media platforms.
- Knowledge of technical applications necessary for the functions of the office (e.g. PeopleSoft, OnBase, CFS Finance, Cascade, internet browsers/search engines).
- Knowledge of university organization and chain of command, administration and management, hierarchy, and protocols.
- Ability to participate in procurement card and purchase order training and apply knowledge in performing related duties.
- Ability to participate in FERPA (Family Educational Rights and Privacy Act) training and apply knowledge in performing related duties.
Condition(s) of Employment
Satisfactory completion of a background check (including LiveScan, as appropriate), that may include, but is not limited to: criminal records check, verification of academic credentials, licenses, certificates, credit history, professional references and/or verification of work history is required for employment. Cal State East Bay will issue a conditional offer of employment to the selected candidate, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Unsatisfactory results may also affect the continued employment of current Cal State East Bay employees who were conditionally offered the position.
All background checks are conducted through the university's third party vendor, Accurate. LiveScan is conducted through the University Police Department.
