PURPOSE:

Under the general direction of the Director of Transfer Admissions and Dual Enrollment, the Senior Transfer Admission Advisor develops and implements new enrollment strategies for transfer student recruitment, coordinates the processing, evaluation, and advising of transfer applicants.  This position is responsible for recruiting, implementing and interpreting admission policies and processes, and course evaluations. The incumbent performs complex Student Services professional work characterized by recruitment, course articulation, independent student advisement and guidance as well as administrative planning to ensure that operational needs of the admissions office are met. This position is part of a dedicated team that specializes in strategic outreach, recruiting, and evaluating transfer credits. The role is instrumental in actualizing and implementing the MOUs and articulation agreements established with California community colleges and other institutions, cultivating community college relationships for recruitment, ensuring informed and seamless new enrollment experience for transfer students at every level.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following

  1. Develops and implements new enrollment strategies within an assigned territory. Lead recruitment efforts for transfer students at on-campus and off-campus recruitment events. Advise prospective applicants regarding application processing and eligibility requirements. Communicate with applicant populations in individual and group settings both on and off campus. Provide prospective students consistent and targeted outreach and guidance throughout the enrollment process. Communicate admission requirements to educational and transfer counselors to enhance transfer pathways while eliminating unnecessary barriers. Counsel denied applicants regarding options and alternatives. Identify potential candidates who would benefit by participation in special admission programs. Following general CSU and campus policies for the assignment of transfer credit, determine and advise on requirements outside of the major that transfer courses fulfill.
  2. Maintains admissions and evaluation processes to include efficient entry of transfer evaluations and transfer credits. Responsible for generating and analyzing reports to effectively monitor and manage the transfer admissions population throughout the enrollment cycle. Assists in the development of process work flow to determine best practices for maximum productivity in the area of evaluation and processing of paper and electronic data. Plans, organizes and interprets transfer credits as they apply to university curricula, which includes explaining and interpreting for students and preparing department evaluation summaries. Evaluate individual college transcripts for completion of transferrable units, required GE Courses and GPA. Independently evaluate transfer credit for applicants from test scores and/or accredited institutions. Independently assess completion of additional specific course requirements for impacted majors or special programs. Prepares and transmits individualized evaluation of transfer credit and applied credits to graduation requirement; advises on fulfillment of remaining requirements; assists students in the appropriate appeal process for academic issues. Provides resolution in conjunction with Admissions Analyst with transfer credit posting into the Student Information System, transfer evaluations, transfer credit entry, transfer credit rules, EDI and manual transfer credit entry. Makes decisions on evaluations that are more complex.
  3. Obtain all required information to determine eligibility using electronically submitted application data and transcript information. Assess and interpret self-reported applicant information and academic records for determination of eligibility for admission. Independently, solve problems with individual applications by obtaining additional information from applicants and counselors. Reviews academic records and credentials to determine admissions eligibility for resident and nonresident native US applicants. Interpret and apply policies to unusual cases and determine when to refer unusual cases to supervisors. Verify admitted applicant’s eligibility for enrollment. Evaluate applications according to all applicable polices for CSU Eligibility and make final admissions decisions, including calculation of total college units, calculation of overall GPA and Required GE Courses.
  4. Completes Admissions Verification process accurately and on time. Assists with data reconciliation and clean-up, including Enrollment Reporting Student (ERSA and ERSS) reports.
  5. Participates in admissions recruitment events, such as Open House and Admitted Student events. Attends campus meetings, workshops, seminars, responds to academic department requests pertaining admission and transfer evaluations. Adjusts schedule required to meet admissions file evaluation goals and deadlines, particularly during peak admissions processing seasons. Engages in special projects, committees, and ad-hoc assignments as required or requested by the AVP or VP.

Other Functions:

  1. Perform other job-related duties and special projects as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

Working knowledge of the principles of individual and group behavior; procedures and activities of the program to which assigned; general knowledge of the methods and problems of organizational and program management. General knowledge of research and interview techniques; and of the principles of individual and group behavior.

Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize multicultural, multisexed and multi‑aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned. Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas Services Office.

MINIMUM QUALIFICATIONS:

Experience: Possession of these knowledge and abilities is typically demonstrated through the equivalent of three years of progressively responsible professional student services work experience. A master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.

Education: Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate coursework in counseling techniques, interviewing, and conflict resolution where such are job-related.

PREFERRED QUALIFICATIONS:

Experience in public higher education, specifically admissions.  Experience evaluating college level coursework, including knowledge of accreditation and articulation.  Leadership experience and/or ability to track and provide lead work direction to a team.

Technical fluency with Oracle/PeopleSoft, CSU Common Management System or equivalent student/financial information system; Microsoft Office Professional; Google Workspace (Gmail, Docs, Sheets, Drive, Calendar, Forms, etc.); 25Live; intranet drives; and internet browsers.

PHYSICAL ENVIRONMENT:

Office environment with standard equipment and tasks. The position requires working at a computer and desk for extended periods of time.  Requires travel between campus offices and off-campus locations.
