About the Position:

The Office of Student Life and Leadership is committed to providing support and fostering community engagement to empower students through involvement, leadership, and co-curricular learning opportunities to enhance their Titan Experience. We seek an exceptional individual to join our team as the Administrative Analyst (Administrative Analyst/Specialist Non-Exempt). Seeking a professional who possesses excellent budget management, customer service, and communication skills. The Administrative Analyst is responsible for the majority of administrative support and procedures for the Office of Student Life and Leadership. Under the general supervision of the Director of Student Life and Leadership, the Administrative Analyst provides scheduling and administrative support to the Director. Provides administrative support, customer service, leads support staff and monitors and maintains unit budgets. Serves as a liaison to Human Resources and Inclusive Excellence (HRIE). Monitor and maintain multiple budgets, providing up-to-date forecasting and projection reports currently for State, Philanthropic Foundation, State Budget, and Student Success Initiative Fees/Budget for the department. Initiates budget documents and budget planning meetings, processes authorizations, downloads and reconcile data, prepares reports, and processes documentation including requisitions, payment of invoices, check requests, travel, disbursements, and payroll. Assists the Director in overseeing day-to-day coordination of administrative operations including the development, implementation, and oversight of operational procedures to deliver service to students, departments, and employers. Functions as the department’s primary liaison to key campus departments.

The Administrative Analyst oversees the venue approval process for outdoor venues, classrooms athletic spaces, and Kinesiology classrooms. Works with multiple stakeholders on their venue requests and provides excellent customer service to campus and community guests when processing venue requests. Initiates, analyzes, researches, and collects and prepares complex data of operating and financial reports, including time and attendance records, travel and expense reports, and personnel files. Provides and presents recommendations to management. Oversees purchasing and collection, deposits, and account maintenance. Coordinates work for support staff to assure timely completion of key responsibilities, quality service delivery, and effective teamwork efforts. Coordinates travel arrangements, make reservations, plan itineraries, and handles travel requests; make arrangements for meetings, retreats, and training. Organizes overall processes to hire, train, and oversee student employees for the Office of Student Life and Leadership. Identifies opportunities for service improvement and operational concerns and makes recommendations for improvements to the Director. Participates in meetings, in-service training sessions, retreats and planning conferences, and other professional development activities. Other duties as assigned.

Essential Qualifications

Bachelor’s degree from an accredited four-year college or university and/or the equivalent training and administrative work experience involving the study, analysis, evaluation, development or improvement of administrative policies, procedures, practices, or programs. Working knowledge of the general practices, program, or administrative specialty. Basic knowledge of and the ability to apply fundamental concepts. Working knowledge of budget policies and procedures. Ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the applicable program, organizational unit, or administrative specialty. Knowledge of and the ability to apply basic methods and procedures used for research and statistical analysis. Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques. Ability to make independent decisions, exercise sound judgment, handle multiple priorities, and organize and plan work assignments. Ability to compile, write, and present reports related to program or administrative specialty. Demonstrated ability to establish and maintain cooperative working relationships.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.  

Preferred Qualifications

Knowledge of CSUF policies and procedures, particularly as they relate to budget, finance, travel, purchasing, foundation, advancement, and attendance with a track record of success in the application of these policies and procedures. Ability to work in a fast-paced environment with multiple interactions. Knowledge of risk management procedures such as insurance protocols and off-campus liability, as well as the ability to educate students in this area. Demonstrated critical thinking skills to initiate improvements in operations and situations based on independent analysis and problem-solving. 

License/Certifications

A valid California driver’s license.
