Classification Salary Range: $5,745 - $8,786 per month 

The anticipated hiring range for this position is $5,800 - $6,100 per month.

The final salary is dependent upon qualifications and experience, but will not go above the anticipated hiring range.

Position Summary:

Under the general direction of the Vice President and Campus DEI Officer (VP/CDEIO), the Executive Assistant provides high-level, confidential administrative and analytical support in the coordination of divisional operations. The incumbent independently manages sensitive communications, interprets and applies university and divisional policies, coordinates fiscal and human resources processes, and supports strategic planning and project initiatives. The position requires discretion, judgment, and the ability to handle issues of a highly confidential and sensitive nature that significantly impact management decision-making. 

Special Working Conditions: 

The incumbent is required to maintain contact with the campus outside of normal working hours on a regular basis except during authorized vacation periods. Remote contact shall include telephone/cell phone, wireless data access devices, remotely logging into necessary systems, and/or electronic mail. Extended hours and weekends may be required during projects and/or emergencies. The incumbent needs a very high level of self-management, and the ability to plan and schedule work, think critically and prioritize appropriately.

Key Responsibilities:

  • Provide high-level, confidential administrative support to the Vice President and Campus DEI Officer (VP/CDEIO), handling matters of a sensitive and complex nature.
  • Manage the VP’s calendar, prioritize appointments, and prepare briefing materials for meetings and events.
  • Draft and edit confidential correspondence, reports, and responses to inquiries, grievances, or complaints for VP/CDEIO review.
  • Represent the VP/CDEIO Office in communications with internal and external stakeholders, ensuring issues are handled discreetly and efficiently.
  • Conduct background research, summarize findings, and prepare reports and recommendations on issues of significance to the Division.
  • Coordinate with the division fiscal officer and campus budget office to ensure appropriate allocation of division resources is in alignment with campus protocols and division budget.
  • Track, reconcile, and report on division operating budgets and expenditures; prepare financial summaries and identify process improvements.
  • Oversee purchasing, contracts, and vendor management, ensuring timely processing and compliance with CSU and state policies.
  • Coordinate travel requests, reimbursements, and related documentation for the VP/CDEIO and division personnel. 
  • Serve as the Division HR Liaison; coordinate recruitment, onboarding, and separation processes for staff, student assistants, and temporary employees.
  • Oversee general office operations to ensure a professional, inclusive, and efficient work environment.

Minimum Qualifications:

  • Education: Bachelor’s degree or equivalent combination of education and experience.
     
  • Experience: Three (3) or more years of progressively responsible administrative experience supporting senior management in a confidential environment.

Knowledge, Skills, and Abilities:

  • Demonstrated ability to handle confidential and sensitive information with discretion and sound judgment.
  • Strong analytical, research, and report-writing skills, with the ability to develop and recommend effective solutions.
  • Excellent written, verbal, and interpersonal communication skills, including proficiency in professional correspondence and presentations.
  • Proficiency with standard office technology and enterprise systems (e.g., Microsoft 365, PeopleSoft, procurement and budgeting platforms).
  • Ability to plan, organize, and independently manage complex workloads, priorities, and projects in a fast-paced environment.
  • Knowledge of project management, budgeting, procurement, and contract processes in a public-sector or higher-education setting.
  • Demonstrated leadership in coordinating, training, and supporting staff or student employees.
  • Proven ability to build and maintain collaborative working relationships across diverse groups and levels of the organization.
  • Commitment to equity, inclusion, professionalism, and exceptional customer service. 

Preferred Qualifications:

  • Education: Bachelor’s degree in business administration, public administration, human resources, or a related field; a master’s degree preferred.
  • Experience: Five (5) or more years of progressively responsible experience providing executive-level administrative support in a complex organization, preferably within higher education or the public sector.
